Rental terms

Plain-English terms for renting equipment from Queen City Crates. Last updated September 2026.

1. What you are renting

You are renting reusable crates, dollies and labels for the period shown on your order. The equipment stays the property of Queen City Crates at all times. You may not sublet it, sell it, or take it outside our service area without telling us first.

2. Rental period

Your rental starts on the delivery date shown on your order and runs for the number of weeks you selected. If you need longer, contact us before the period ends and we will extend at the same weekly rate. Equipment still out more than three days past the agreed end date without contact may be billed at the weekly rate.

3. Payment

A deposit of 20% of the order total is charged when you book. The remaining balance is charged automatically to the same payment method approximately 24 hours before your delivery window. Your order total, including delivery and pickup, is shown in full before you pay anything.

4. Cancellations and changes

Cancel more than 48 hours before your delivery window and the deposit is refunded in full. Cancel inside 48 hours and the deposit is retained, because the equipment has already been pulled, cleaned and scheduled. Date changes are free whenever we have availability, so call early rather than cancelling.

5. Care of the equipment

Use the crates for household or office goods only. Do not use them for liquids that can spill, hazardous materials, or anything that would leave a residue. Do not stand on them, do not overload them past roughly 60 pounds, and do not leave them outdoors in weather for extended periods.

6. Damage, loss and the waiver

Normal moving marks and scuffs are expected and never charged. Equipment that is cracked, broken, lost or contaminated is billed at $25 per crate and $65 per dolly. Optional damage protection, added at checkout, waives up to $500 of these charges for a single rental. The waiver does not cover deliberate damage or equipment that is never returned.

7. Delivery and pickup

We deliver and collect at ground level or one flight of stairs unless agreed otherwise in advance. Someone must provide access to the building. If we cannot access the address inside the agreed window and no arrangement has been made, a repeat trip may be charged. Tell us in advance about docks, freight elevators, gates or parking restrictions and we will plan around them.

8. Liability

We are responsible for delivering and collecting the equipment in usable condition. We are not responsible for the contents you put in it, for damage caused by overloading, or for indirect losses arising from a delayed move. Our maximum liability for any single rental is the amount you paid for that rental.

9. Governing law

These terms are governed by the laws of the State of North Carolina.
